Preparation

Plan your goals

Before you even set foot in the convention center, spend some time going over the convention schedule. Highlight the must-attend panels, tournaments, and events. Whether it’s a sneak peek at a new game, a Q&A with your favorite developer, or a chance to play in a high-stakes tournament, knowing your priorities will help you navigate the chaos like a pro.

Accept that you will miss things, and don’t overpack your schedule

Let’s face it – you can’t do everything. Accept the fact that you’re going to miss some things. Sometimes, exciting panels or activities are happening at the same time. And if the things you’re interested in are in different halls, you’ll have to factor in the time it takes to get from one place to another.

Focus on what is most important to you and let the rest go. Sometimes, the best experiences are the unexpected ones you stumble upon. Also, remember to take breaks and rest. Running from one event to the next can lead to burnout. Build in some downtime to recharge your batteries.

Have a backup plan

If your first choice is full, consider alternative events that interest you. You could try a new game, grab a bite to eat, or play a board game. Flexibility is the key to maximizing your fun and minimizing your frustration.

Get a map

A map is your best friend. Familiarize yourself with the layout of the convention center. If available, download the convention app. It’s like having a personal guide in your pocket. Know where the main stages, exhibit halls, restrooms, and food areas are. The faster you can navigate, the more time you have for all the fun stuff. Some apps, like the Polaris app, even have fun features like scavenger hunts and unlockable rewards.

Gaming Convention Survival Guide Tip: Get a map

Check your hotel for hidden costs

Surprise fees are the worst. Double-check for any hidden charges at your hotel, such as parking, breakfast, or Wi-Fi fees. You can find this information on the hotel’s website, the platform you’re using to book, or in reviews. A little preparation can save you from an unwelcome bill.

Parking/Travel

Research your parking options, traffic conditions, and public transportation routes. Knowing how to get to and from the convention can save you a lot of stress. If you’re using public transportation and traveling with friends, see if group tickets are available at a lower cost than individual tickets. Consider a parking space that is within walking distance but not directly connected to the convention center, as it may be less expensive. The more you save here, the more you can spend on merch!

Pre-purchase and pick up your badge ASAP

Buy your tickets early to avoid long lines and possible sellouts. The last thing you want is to be left out because tickets are sold out. If possible, pick up your badge before the event. This will save you time and let you dive straight into the action.

What to Wear

Comfy shoes

You’ll be on your feet a lot. Comfortable shoes are a must to get you from dawn to dusk without blisters. You can also get special insoles for maximum comfort. Still, it’s never a bad idea to have some blister pads handy because sometimes even the best shoes can’t keep up.

Comfortable pants and merch

Wear something comfortable. Represent your favorite games with great merch. It’s a great conversation starter and a way to connect with other fans. Remember that convention venues tend to be pretty hot, so you’re probably better off with a t-shirt than a hoodie.

Cosplay

If you love dressing up, go for it! Cosplay as your favorite character, but make sure your costume is comfortable and allows for easy movement. Consider packing a change of clothes if you want to change during the day. Also, find a place to pack your props if you decide to roam the venue without them.

What to Bring: Essentials

  • Ticket/Badge: Double-check you have your ticket or badge. You won’t get far without it.
  • Charger/power bank: Your phone is your lifeline for schedules, maps, and photos. Keep it charged with a power bank.
  • Backpack: A backpack is perfect for carrying all your essentials and any merch you pick up. Make sure it’s comfortable and not too heavy.
  • Refillable water bottle: Stay hydrated. Convention centers can get hot and crowded, so drink plenty of water.
  • Snacks: Pack some snacks. Convention food can be expensive and not very healthy. A few granola bars can save your wallet and keep your energy up.
  • ID & Wallet/Cash: Always carry your ID, wallet, and some cash. Some vendors may not accept cards, and you don’t want to miss out on a sweet deal.
  • Medications: Bring all necessary medications and painkillers. You never know when a headache might strike.
  • Camera: If you’re into photography, a good camera is a must for snapping photos of the fantastic cosplay and booths.

Gaming Convention Survival Guide: Pro Tips

Early bird

Arrive early to beat the lines and get a head start on the day. The early bird gets the worm – or, in this case, the best merch and seats. The same goes for popular panels and events. They tend to fill up quickly. Line up at least 30 minutes to an hour early to make sure you get a good seat.

Trade places with friends

If you’re with friends, take turns waiting in line. That way, everyone gets a chance to explore, grab a bite to eat, or take a bathroom break without losing their spot. Be sure to set up a group chat beforehand and check your phone regularly to keep track of where everyone is and how much longer you have to wait in line.

Set alarms on your phone

Set alarms for important events. With so much going on, it’s easy to lose track of time and miss something important.

Ask cosplayers before taking photos

Always ask for permission before taking pictures of cosplayers. It’s polite, and they’ll appreciate the respect.

First pass

Do an initial walkthrough to see what’s available. Then, go back for a closer look at what caught your eye. If you see that a long line has formed in front of something you’re interested in, just come back later when fewer people are around.

Budget

Set a budget for merchandise and food and stick to it. It’s easy to get carried away, but you don’t want to be broke at the end of the day. Food at conventions can be especially expensive, so you may want to consider leaving the venue for a while and finding cheaper options. You’ll also give yourself a much-needed break from the hustle and bustle of the convention and come back with renewed energy.

Know what to do if you feel unsafe

Familiarize yourself with the convention’s safety procedures. Many conventions have particular safe words on their websites that you can use to report harassment or unsafe situations. All you have to do is find a staff member, say the word, and they will get you out of the situation and to a safe place, no questions asked.

Be social

Talk to people! Conventions are a great place to make friends and connections within the gaming community, whether with fellow attendees, exhibitors, or panelists. It may be challenging, but remember that everyone there is a nerd just like you, and you already have one or more hobbies in common. Ask them what they’re most excited to see at the convention or their favorite game. It’s a great icebreaker!

Business Cards

If you’re a content creator or in the industry, bring business cards to exchange with others. Networking is a big part of conventions. If someone doesn’t have a business card, write down their contact information on a notepad or save it to your phone.

Sanitize

Use hand sanitizer frequently and practice good hygiene, especially when handling controllers or shaking hands. Con crud is real, and you don’t want to bring it home.

Most importantly: Remember to have fun!

Gaming conventions are a great place to celebrate one of the coolest hobbies out there (we might be biased on this one) and connect with colleagues, friends, new people, or teammates worldwide. Now, get out there and have fun!
